What a good resignation letter does (and doesn't) do

A resignation letter is a formal record, not a speech. It needs to do three things clearly: state that you're resigning, name your role, and give your last working day. A line of genuine thanks rounds it off. That's it — brevity here is a feature.

Just as important is what to leave out: grievances, a detailed account of why you're going, and where you're headed next. None of it belongs in the letter, however tempting. Keep the tone warm and factual; the letter often outlives the feelings, and it may sit in your file for years.

On timing, notice periods vary by contract and country — commonly two weeks to a month, but check yours before you commit to a date. And on delivery: tell your manager first, in person or on a call, then send the written letter by email, with HR copied where that's the norm.

GratefulWarmer and more personal, while staying composed.

Dear [Manager's name], I'm writing to let you know that I've decided to resign from my role as [Your role] at [Company]. My final day will be [Last working day]. This wasn't an easy decision. My time here has meant a lot to me — I've grown as a professional, worked with people I respect, and been given [One thing you valued (optional)]. I'm genuinely thankful for that. I'm committed to making the transition as smooth as possible. I'll wrap up my current work, document what's in progress, and help however I can to hand things over before I go. Thank you for your guidance and support. I hope we stay in touch. Sincerely, [Your name]

Short noticeRespectful when you can't give the full notice period.

Dear [Manager's name], I'm writing to resign from my position as [Your role] at [Company], with my last working day on [Last working day]. I realise this is shorter notice than usual, and I'm sorry for that — it's the result of circumstances outside my control. I want to make the most of the time I have left. I'll prioritise the handover ruthlessly, focusing on whatever will cause the least disruption, and I'm happy to document anything that would help the team after I leave. Thank you for your understanding, and for everything I've learned here. Sincerely, [Your name]

Career changeForward-looking, for a change in direction.

Dear [Manager's name], After careful thought, I've decided to resign from my role as [Your role] at [Company] to move in a new professional direction. My last working day will be [Last working day]. This is about the path I want to take next, not a reflection on the team or the work here. The experience and skills I've built in this role have shaped how I work, and I'll carry them with me. I'll do my part to make the handover clean — completing what I can and documenting the rest so nothing is left hanging. Thank you for the opportunities and support during my time here. I wish you and the team all the best. Sincerely, [Your name]

RetirementReflective and warm, for retiring.

Dear [Manager's name], I'm writing to let you know of my decision to retire from my role as [Your role] at [Company]. My last working day will be [Last working day]. After [Years at the company (optional)] years here, this feels like the right time. It's been a privilege to be part of this team — I've valued the people, the work, and everything I've been trusted with along the way. I'd be glad to help make the transition an easy one: documenting what I know, and mentoring or briefing whoever steps into the role, in whatever way is most useful. Thank you for the years, the opportunities, and the support. I'll miss it, and I wish everyone here the very best. Sincerely, [Your name]

Questions, answered

What should a resignation letter include?
Just four things: that you're resigning, your role, your last working day, and a line of thanks. Everything else is optional.
How much notice should I give?
Whatever your contract says — commonly two weeks to a month. Check it before you set a date, as notice periods vary by role and country.
Do I have to give a reason for resigning?
No. A reason can be polite in conversation, but it doesn't belong in the letter — keep the letter short and factual.
Should I email my resignation or hand it over in person?
Tell your manager in person or on a call first, then send the letter by email so there's a written record. Don't let the letter be the first they hear of it.
Can I resign with immediate effect?
Sometimes, but it can breach your contract. Use the short-notice template and, where you can, agree the final date with your employer.
Is this generator really free?
Yes — it's professional templates with your details filled in, running entirely in your browser. Nothing is uploaded and no account is needed.
